AI › Standalone agents

The jobs your best people shouldn’t be doing.

A standalone AI agent takes one repeatable job off your team and owns it. Built from your own documents and nothing else, so it answers in your words, says “I don’t know” rather than guess, and hands to a person the moment something is urgent or personal.

Thirty minutes. No slides, no obligation, and you leave with a written shortlist of the jobs in your business an agent could take.

Customer › Wye Leisure

This is what three jobs were costing one club.

Wye Leisure runs a members’ club. Before we wrote a line of anything, the directors told us what these three jobs were taking out of the business every month. Read them, then put your own numbers in their place.

3days a month

Their finance director, entering figures into Xero by hand.

The club’s own figure

60minutes a day

The daily cash-up, done by one person, with only a handful able to cover it.

The club’s own figure

3.5hours a week

A director answering member enquiries himself, against a published 48-hour response time.

The club’s own figure

These are the club’s own figures for what the work was costing them, given to us before we built anything. They are the size of the problem we were asked to solve, not a claim about what we saved.

Agent 01 · accounts and finance

Penny

Penny reads the closing figures through the camera lens of any smartphone. No scanner, no expensive hardware, no new process for the duty manager to learn. She splits the figures by department against the club’s own account codes and creates the entry in Xero as a draft. She never posts anything final.

  • Trigger: a duty manager photographs the cash-up sheet at the end of trade
  • Action: reads the figures, splits them by department, writes a draft Xero entry
  • Escalation: everything. Nothing reaches the accounts until the finance director approves it, and till differences get their own line to accept or query

Agent 02 · member services

Member services assistant

The club publishes a 48-hour email response time. Members want an answer there and then. This agent answers members and prospective members at any hour, using only the club’s own published information, and where it quotes a price it always says prices can change.

  • Trigger: a member or visitor opening the chat on the club’s website
  • Action: answers from the club’s own information, and gives the self-service link where the person needs to do something rather than know something
  • Escalation: anything it does not know goes to the club inbox. Anything urgent, safety-related, medical, a complaint, or where the person sounds upset goes straight to the phone

Agent 03 · staff policy

Boss

Staff interrupt a director to ask what the policy is. Boss answers from the club’s own staff handbook, Normal Operating Procedure and Emergency Action Plan, quoting the rule plainly and in the club’s own words. It comes with The Educator, the tool the club uses to teach it, as one agent.

  • Trigger: a member of staff opening the link mid-shift
  • Action: quotes the relevant rule or procedure plainly, in the club’s own words
  • Escalation: anything not covered by the written procedures goes to the duty manager. Pay, disputes, grievances and anything personal go to a director privately, by rule
  • In an emergency its first line is always the same: follow your training and alert the duty manager immediately. It supports the procedure, it never replaces it

Definitions

An agent that only knows what you know.

Most “AI” you have been pitched is a chat window bolted onto a product you already pay for. An agent is different. It owns a task, it has permission to act, and it knows when to stop and fetch a person.

Not this

A chatbot

A chatbot waits for a human to type. An agent starts work on a trigger, a sheet photographed, a question asked, a shift going unfilled, and finishes without a prompt.

Not this

An automation script

Scripts break the moment reality varies. An agent reads unstructured input, handles the awkward cases, and escalates the ones it should not touch.

Not this

A replacement for your team

Every agent has a named human owner and a written escalation path. It takes the repeatable volume off your people, not the judgement.

Standalone

No platform to buy

Buy one agent. You do not need to be an IT customer of ours to run it.

Scoped

One job, done properly

We would rather ship one agent that works than a roadmap of five that nearly do.

Private

Nothing stored by default

No transcripts of your customers’ or your staff’s conversations. Hosted in the UK.

Yours

Retrain it yourself

When your policy changes you update the document. You do not raise a ticket and wait for us.

Process

We identified, scoped and built the agents. In weeks, not quarters.

The order matters, so we do not skip steps. You can stop after step two and owe nothing.

  1. Step 01

    Find the job

Thirty minutes on where your people spend time on repeatable work. We leave with a shortlist, you leave with a view.

  2. Step 02

    Scope one agent

We write down the trigger, the action, the escalation and how you will know it is working. You commit to the agent, and we commit in writing to what complete looks like, before anything is built.

  3. Step 03

    Build and shadow

The agent runs alongside the person doing the job now. Nothing leaves the business unchecked until the output is right.

  4. Step 04

    Hand over the keys

When the agent does the job, we both sign to agree it is complete. It then goes live with a named owner in your business and a written escalation path. The agent collates its own numbers, so you can see what it is doing without anyone compiling a report.

Start at step oneSteps one and two cost you nothing.

Commercials

One monthly cost per agent. Nothing to pay upfront.

The build is agreed inside the monthly figure, so there is no capital cost and no invoice before the agent is working. One agent, one predictable monthly cost, however much work it gets through.

Nothing upfront

No build fee to find

Scoping, build, the shadow period and handover are all agreed within the monthly cost.

Per agent

Priced by the job, not the seat

Your headcount can change and your volumes can climb. The monthly figure does not.

Included

Hosting, monitoring, updates

Everything needed to keep the agent working, with the agent collating its own numbers for you.

At the end of the contract, it all comes back to you.

Every document, every configuration and all of your data is yours, and we return it. If you decide not to carry on, you walk away with everything and no undocumented dependency.

We are confident enough in these agents that we do not expect you to use that clause. The conversation we usually end up having is which job you want to hand over next.

Questions

The things people actually ask.

Where does our data go?+

Hosted in the UK, under a data processing agreement. Each agent reads only the documents you give it, and no customer data is used to train public models. We will walk you through the data flow for your specific agent before you sign anything.

Do you keep a record of the conversations?+

By default, no. The agents we built for Wye Leisure hold no transcripts of member or staff conversations anywhere. Where you do need an audit trail, we log the actions an agent takes in your systems rather than the conversations that led to them. Which of those you want is agreed in writing before we build.

Who owns the data, and what happens at the end of the contract?+

You own it throughout. At the end of the contract every document, every configuration and all of your data is returned to you, and the agent stops. Nothing is held back and nothing is held hostage.

What happens when it gets something wrong?+

Each agent is built to say “I don’t know” rather than guess, and to hand to a named human the moment something is urgent, safety-related, medical or personal. Agents that write into a system write drafts only, so a person approves before anything is final.

Do we need to be a technologE® IT customer?+

No. Agents are sold standalone, and plenty of our agent customers keep their existing IT provider.

How does this sit with the EU AI Act and UK regulation?+

We classify each agent by risk, document its intended purpose, keep a human in the loop where the classification requires it, and hand you the documentation you would need if a regulator or an insurer asked.

Next step

Bring us one job you wish nobody had to do.

Thirty minutes, no slides. We will tell you honestly whether an agent is the right answer, and say so if it is not. You leave with a written shortlist of the repeatable work in your business, whether you buy anything or not.
